From quote to invoice
A usable invoice makes it easy for the customer to pay and for you to track what was billed. Include your business and customer details, an itemized list of services, tax, payment terms, and the balance due.
List each service with quantity and rate so the customer can see how the total was calculated. Common items include mowing, edging, trimming, fertilization, leaf cleanup, materials, and disposal.
Add your local tax rate and let the generator compute subtotal, tax, total, and balance due automatically. Record any amount already paid so the customer knows what remains.
State due date and payment terms up front to reduce follow-up and set clear expectations. Note any late fee policy you and the customer agreed to.
Practical billing guidance
Clear line items prevent disputes and make your work easier to verify. Break the job into specific tasks rather than lumping everything into one total.
Separate mowing, edging, and trimming into distinct entries when priced differently. List fertilization, weed control, aeration, leaf cleanup, and seasonal cleanups as individual services. Add materials such as sod, seed, mulch, or plants with quantity and unit cost. Include disposal or dump fees and trip charges when they apply.
A flat rate per visit is simple for recurring maintenance: show the visit count and per-visit price. Hourly billing fits one-time or unpredictable jobs: list hours worked and the hourly rate. For recurring contracts, you can invoice monthly or per visit—whichever matches your customer agreement.
If you collected a deposit, record it as amount paid so the invoice shows the remaining balance. This is especially useful for large jobs or seasonal contracts. The generator updates the balance due automatically when you enter a payment.
Document the due date and payment method you agreed to with the customer. If you charge a late fee, state the amount or rate and when it applies, and follow the rules in your state or locality. This tool does not provide legal advice; review your local requirements before sending.
